Fundraising Commission Sales Overview

Brochure Fundraising is a long established technique that schools, school groups, leagues, youth sports teams, day care centers, churches and other youth and civic groups use to raise money. It allows these groups to solicit orders from family, friends, neighbors and associates by using color brochures. Money is collected at the time of sale and payments are made to Tracy Hamilton Inc. at which time the merchandise is shipped from one of our warehouses.

• Who Makes a Good Sales Rep? The best reps are people who have connections or are willing to make new connections within their community with local schools, school group leaders, PTA leaders, sports leagues, cheer and dance groups and other youth groups involved with schools and community groups - such as current and x-PTA moms, school office employees, coaches, church youth group leaders, etc - additionally people who have previous face to face sales experience and or current sales representatives whom call on schools offering other lines make great sales reps for our company.
• Contact Potential Customers: Our representatives' primary responsibility is to contact potential customers such as elementary school PTA leaders, school group leaders, sports league directors, day care / child care centers, church groups and other non-profit organizations that are interested in "Brochure Fundraising". We strongly suggest you make your first contact "in-person". It is preferable and can be much more profitable then by making a contact on the phone.
  
  We urge all our representatives to keep accurate records of their contacts and follow up calls either in a binder or on their computer.

• Review Brochures & Procedures: At your first meeting you should explain to the potential client that you are a registered fundraising representative with our company and explain the profit and service benefits of working with "you", their local contact for Tracy Hamilton Inc. This is a critical first step in making the client feel comfortable that they have someone local to speak to, even though Tracy Hamilton Inc. will be taking care of almost all of their customer service needs. Your first meeting will also allow you the opportunity to review with your potential client our current line of fundraising brochures. At this time you should carefully explain the profit margin structure of Tracy Hamilton's fundraising programs. In addition, you should explain that all brochures, collection envelopes and shipping (in most cases) are Free. Please read the enclosed set of three information letters for a full description of our brochure fundraising program.
• Follow-Up Phone Call: The next step is to make a follow up call, either in-person or by phone within one to two weeks after your initial meeting. During this follow-up you should ask if the information you dropped off was reviewed and if they have any questions.
• Sign Up the Customer: If your client decides to run a "brochure fundraising" program with us they will be required to fill out our "sign-up" form. In addition, you should touch base with your customer during the length of the fundraiser to see how it is proceeding and if they need our help in making their fundraiser more successful.

When are the main selling seasons and when should I contact prospective customers for those seasons?

The main selling seasons are fall and then spring. Schools, especially PTA's and large school groups such as bands, etc. often make a decision to run a brochure fundraiser many months in advance. It is not unusual for them to choose a fall / winter program anywhere from two to eight months in advance, slightly less time for spring. Smaller groups, sports teams, etc. make decisions a month or two in advance or as quickly as a few weeks or less before the start date.

What is a rep responsible for and what is the rep's main job description?

We at Tracy Hamilton expect our representatives to be our eyes and ears with respect to finding and speaking to local potential clients. To find the decision-makers in your community and have them review and learn about our programs. We want our reps to engage these people and find out when they make decisions and sell them on running a brochure fundraiser with our company. Separately, we want our reps to be on call, especially with large accounts to be there when the product arrives (if the sponsor asks for that service), to help facilitate the distribution of products, and to be there if the client needs additional support.

How do I keep up to date with new brochures, information and updates from the corporate office at Tracy Hamilton?

We are always looking for new brochures to offer our "Fundraising Representatives" and our site is always being updated. I have a school / group interested in doing a brochure fundraiser, what should I do first?

The first thing to do is have them sign the "Contract Sign-Up" agreement which gets them locked in, then we suggest you fax it into us with your "Rep Label" attached to it. Secondly, we suggest you find out as much about their past fundraising endeavors such as how much they raised last time, how many participants, what type of brochure did they use and what are their expectations.

I have spoken to a prospective "Brochure Fundraising" client and they have questions that are new to me; what should I do?

Is there some kind of quota working with your company? How long will you work with a new rep and is there a territory for me?

We do not work on a quota system; we work with our reps on a best-efforts basis. We will work with a rep as long as the rep is interested and makes a legitimate effort to keep in touch with our organization. We work hard to communicate with our reps and if we do not hear back from them, their accounts will be de-activated. With respect to a territory, a rep will be reviewed for a territory when revenue exceeds $25,000 per year.

Are there additional costs to me regarding promoting your program?
